TeamGuard ("we", "our", "us") provides messaging software for youth sports clubs, built around transparency and safety. This policy explains what information we collect through the TeamGuard app and website, and how it's used.
Who uses TeamGuard
TeamGuard accounts are created by a club administrator or coach, who invites coaches, parents, and athletes. Some athlete accounts belong to minors. Athletes manage their own account and messages; a parent or guardian linked to that athlete is automatically added to any conversation involving them, and can see those messages, consistent with our transparency and safety design.
Information we collect
- Account information: name, email address or phone number, password (stored as a salted hash, never in plain text), role within the club (admin, coach, parent, or athlete), and date of birth for accounts flagged as belonging to a minor.
- Profile information: an optional avatar image.
- Messages: message text, optional attached images, timestamps, edit history, and read state, sent within club threads.
- Device and notification data: a push-notification token tied to your device, used solely to deliver new-message notifications.
- Club and billing information: the club you belong to and its subscription status. Payment card details are processed directly by our payment processor, Stripe; TeamGuard does not receive or store card numbers.
- Audit and moderation data: records of moderation actions (e.g., a message hidden or flagged by a coach/admin) are retained for accountability purposes, even when a message is hidden from normal view.
How we use this information
- To operate the messaging service: delivering messages, notifications, and maintaining your account.
- To support transparency and safety: automatically including guardians on threads involving their athlete, and giving clubs tools to moderate content.
- To verify your identity and secure your account (e.g., email verification, password reset).
- To bill the club's subscription, via Stripe.
Text messaging (SMS)
If you register or sign in using a phone number instead of an email address, we use that number to send you one-time SMS codes for account verification and password reset. These are transactional messages only — we do not send marketing or promotional text messages, and message frequency depends solely on your own registration, login, and password-reset activity. Message and data rates may apply. We do not sell or share your phone number or SMS opt-in status with third parties for marketing purposes; it is used only to deliver the code you requested, through our SMS provider (Azure Communication Services).
Who can see your information
Messages are visible only to participants of the thread they're posted in, plus any guardians automatically included on threads involving their athlete, and club admins/coaches with moderation responsibilities. We do not sell personal information, and we do not share it with third parties except the service providers needed to run TeamGuard (cloud hosting, push notification delivery, payment processing, and transactional email).
Data retention
We retain account and message data for as long as the club's subscription is active, and as needed to meet applicable recordkeeping obligations. See Delete your account and data below for how to request deletion and what's retained afterward.
Children's privacy
TeamGuard is designed for use within organized youth sports clubs, where a club administrator and the athlete's parent or guardian are aware of and involved in the athlete's participation. We do not knowingly allow open public sign-up by children outside of this club-invitation structure.
Your choices
- You can update your profile information and notification settings from within the app.
- You can request a copy of your data, or delete your account entirely — see Delete your account and data below.
Changes to this policy
If we make material changes to this policy, we'll update the date above and, where appropriate, notify club administrators.
Delete your account and data
You can request deletion of your TeamGuard account and associated personal data at any time, whether or not you still have access to the app.
How to request deletion:
- Email support@teamguard.app from the email address on your account, with the subject line "Delete My Account."
- Include your name and your club's name so we can locate and verify your account.
- We will confirm your identity and complete the deletion within 30 days.
What gets deleted: your name, email/phone number, password, date of birth, avatar, device push-notification tokens, and login access to your account.
What we keep, and for how long: messages you sent remain visible to other participants of the threads you were part of, since deleting your account doesn't remove a message from conversations other people received — your account is just no longer attached to it as an active login. Moderation and audit records (e.g., a message that was flagged or hidden) are retained for up to 7 years to meet our accountability commitments, even after your account is deleted. Billing records tied to your club's subscription are retained as required for tax and accounting purposes.
If you are a club administrator, deleting your own account does not delete your club or other members' accounts — contact us if you need the entire club removed.
